Scenario: define what counts as payment

Imagine a freelance designer whose overseas client asks to pay in USDC. First decide whether the invoice specifies dollars or a fixed token quantity. Then agree whether settlement means receipt of the specified token or receipt of money in a bank account.

If the income must eventually cover everyday expenses, include conversion and withdrawal in the plan. Circle distinguishes always-available blockchain transfers from banking processes; one transfer's speed cannot establish the duration of the entire payment journey.

Prerequisites: prepare a payment instruction sheet

Record the invoice identifier, pricing currency, amount, deadline conditions, network, full address and responsibility for fees. For a custodial account, check eligibility, receiving availability and the intended conversion or withdrawal route.

Obtain details from the current receiving page. Coinbase explains that supported networks matter for multichain assets and that some assets require a memo or tag. Apply your actual receiving provider's requirements.

Steps: agree, verify and reconcile

First agree whether the obligation concerns the amount sent or the amount received after charges. Second verify payment details through the established contact channel; confirm unexpected address changes separately. Third, if arranging a test, check minimum deposits and costs and agree whether it reduces the outstanding invoice.

Fourth match the receiving record to the asset, amount and invoice, saving the transaction identifier and time. A successful test verifies that particular attempt. Recheck the main payment and do not close the invoice on a screenshot alone.

Costs: compare usable proceeds

List applicable sender withdrawal charges, network costs, conversion costs and bank withdrawal charges. Use current quotes for the chosen route. Dollar pricing does not itself establish the amount eventually credited to a dollar bank account.

Build an independent comparison using one hypothetical invoice: estimated proceeds, processing time and manual work for each available payment method. For occasional small invoices, administrative time may determine whether the arrangement is worthwhile.

Failures: investigate before requesting another payment

If a client reports payment but nothing appears, obtain the transaction identifier and verify the network, address and status, then review account notifications. Blockchain completion and a usable custodial balance can represent different stages. Avoid requesting another payment while the first remains unresolved.

Preserve the invoice and confirmation records and use official support. Do not promise recovery of an incorrect-network transfer or disclose recovery phrases or private keys to someone claiming to help.

Completion: connect payment and accounting records

Explain differences between expected and received amounts, count test payments once and check agreed fee allocation. Associate the evidence with the invoice. If bank receipt was the agreed endpoint, retain pending status until that endpoint is verified.

Record actual cost and handling time for the next quotation. The objective is a repeatable business process suited to the work, rather than changing every overseas receipt to cryptocurrency.
